This guide covers the new Outlook for Windows app (the replacement for classic Outlook) and Outlook on the web (outlook.com / outlook.live.com). If you use classic Outlook (2016, 2019, 2021, or Microsoft 365 desktop), see How to set up email in Outlook (desktop) instead.

Prerequisites

  • An active HOSTDOG hosting account with at least one email address created
  • Your email address and password
  • Your domain name (e.g., yourdomain.com)

Server settings reference

Keep these settings handy — you may be asked to enter them during setup:

Add your email in new Outlook for Windows

The new Outlook app handles most email providers automatically, but you may need to provide server details manually for HOSTDOG accounts.

Step 1:
Open Outlook and start adding an account

Launch the new Outlook app. Click the Settings gear icon (top right), then go to AccountsEmail accountsAdd account.

If this is your first time opening the app, you will be prompted to add an account right away.

Step 2:
Enter your email address

Type your full HOSTDOG email address (e.g., info@yourdomain.com) and click Continue.

Step 3:
Choose the account provider

Outlook may attempt to auto-detect your email provider. If it asks you to choose, select IMAP. If it shows a Microsoft sign-in page, click Back and look for a link such as Continue with this email address or Other email account.

Step 4:
Enter your password and server settings

Enter your email password. If the app asks for server details, fill them in using the reference table above. Make sure the IMAP server is mail.yourdomain.com on port 993 with SSL/TLS, and the SMTP server is mail.yourdomain.com on port 465 with SSL/TLS.

Tip: The new Outlook may try to use the Microsoft sync service. If auto-detection fails, it will prompt for manual IMAP settings — that is when you enter the values above.
Step 5:
Complete the setup

Click Continue or Done to finish. Your inbox will begin syncing your HOSTDOG emails.

Add your email in Outlook on the web

Outlook on the web (outlook.com or outlook.live.com) also supports adding third-party IMAP accounts:

  1. Sign in to outlook.live.com with your Microsoft account
  2. Click the Settings gear → View all Outlook settings
  3. Go to EmailSync email
  4. Under Connected accounts, click Other email accounts
  5. Enter your HOSTDOG email address, password, and display name
  6. Select Manually configure account settings
  7. Enter the IMAP and SMTP server details from the table above
  8. Click OK to save

Your HOSTDOG emails will appear alongside your other messages in Outlook on the web.

Troubleshooting

Outlook redirects to Microsoft sign-in instead of IMAP setup

The new Outlook may assume your email is a Microsoft account. If you see a Microsoft sign-in page, click Back and look for an option like Other email account, IMAP, or Advanced setup. This bypasses auto-detection and lets you enter your HOSTDOG server settings manually.

  • Verify you are using the full email address as the username (e.g., info@yourdomain.com)
  • Confirm the password is correct by logging into webmail
  • Check that the server is mail.yourdomain.com (replace with your actual domain)
  • If port 465 for SMTP does not work, try port 587 with STARTTLS

The new Outlook and Outlook on the web use a cloud sync layer that may introduce a small delay compared to direct IMAP connections. If emails appear in webmail but not in Outlook, give it a few minutes. For real-time sync, consider using classic Outlook (desktop) with a direct IMAP connection.
